Here’s your guide to everything you need to know about ticketing and RSVPs for your events.

When to use ticketing

Ticketing is useful to:

  • Show how many people attended your event. 
  • Let you set a maximum number of attendees (e.g. when a venue will only hold a certain number of people)
  • People need to pay to attend
  • There are conditions of entry (e.g. your event has alcohol and needs to be 18+)
  • There are a set number of places (e.g. in a course)
  • You need extra information from your attendees (e.g. dietary or access requirements)
  • An event is free but you'd like to gauge interest in how many people want to come along
We currently use Trybooking for all ticketing.


18+ Events

If your event has alcohol service, you'll need to let your attendees know:

  • on your ticketing or RSVP page
  • on the tickets themselves where possible
  • on all marketing material for the event (including social media)

Use this copy as a guide: 

"The Ida Bar is an 18+ only venue. UMSU is committed to promoting safe and responsible use and service of alcohol. Valid Photo ID required." 



Setting up ticketing and RSVPs

When you're submitting the Comms and Design Project Kickoff Form, select the Ticketing option from "What Comms Support Do You Need". It'll prompt you to fill out a bunch of questions, which Comms will use to set up your ticketing for you.

When your ticketing is set up, Comms will provide the link to it in your project, and tag you.

To access your ticketing data (e.g. attendee names, dietary requirements etc), use the Producer ID and Password supplied to you to log into the Trybooking portal HERE. Once you're logged in, you can select the data you'd like access and download it – easy!

You can also use the Trybooking app to scan your attendees into your event with their eticket + an iPad (comms can supply) or a mobile phone.


If you're making your own ticketing in Trybooking


We don't mind if you want to make your own Trybooking account. Please just ensure you email our Finance department before you get started, so things like finances / bank accounts can be set up properly and appropriate financial regulations guidance can be given.
