Artwork Approval Process

If you choose to design your own assets, please request 'artwork approval' when submitting your help request.

When Is Approval Required?

  • Any design featuring UMSU logos must be approved by the Design Department before being published.
  • Any design you would like to be shared through UMSU's official channels (eg. UMSU main Instagram, UMSU eNewsletter, etc.) must be approved by the Design Department.

Content Restrictions
Your designs must not include images or messaging that:


  • Promote violence or militaristic themes
  • Contain sexist, racist, homophobic, or discriminatory content
  • Encourage racial, sexual, or religious discrimination
Copyright & Licensing
Always consider copyright regulations when using images or fonts from external sources.

Image Size Guide

To effectively promote your event across our various channels (eNews, social media, LCD screens, posters, etc.), please provide your images in the specified dimensions:
 
Standard Suite of Designs
  • Event Banner: 1140 x 415 px (Heading only, minimal text—avoid event specifics)
  • eNews Tile: 280 x 280 px (Minimal or no text)
  • Instagram Tall: 1080 x 1350 px
  • Instagram/social post (square): 1080 x 1080 px
  • Poster: 3508 x 4960 px (594 x 841 mm) (Make sure to add a URL and/or QR code!)
  • Portrait LCD: 1080 x 1920 px
  • IG Story: 1080 x 1920 px (Leave space to add the URL when posting)

  • Landscape LCD: 1920 x 1080 px
  • Facebook Cover Photo: 851 x 315 px

Dates & Times Style Guide

Follow these formats when displaying dates and times:

Dates (Do not use ordinal numbers: 1st, 2nd, 3rd, etc.)
  • Weds 30 March
  • Wednesday 30 March
  • Wednesday 30 March 2025
  • March 2024
  • 27–30 March 2024 (Use an unspaced en dash: "–")
Times (Do not use ":00" for whole hours)
  • 10.30am
  • 12pm (Not "12:00pm")
  • 10–10.30am (Use an unspaced en dash: "–")
  • 10am–4pm (Use an unspaced en dash: "–")


Alcohol Statement for Promotional Assets

If your event includes alcohol service, you will need to include the following RSA statements onto your designs and event descriptions.

For Events Where Alcohol Is Served
"This event will have alcohol service for attendees aged 18+ only. Valid photo ID is required. UMSU is committed to promoting the safe and responsible use and service of alcohol."

For 18+ Only Events
"This is an 18+ only event. UMSU is committed to promoting the safe and responsible use and service of alcohol. Valid photo ID required."

How to set up artwork for print

If you are printing graphics (e.g., on a t-shirt or poster), follow these setup guidelines:
  • File Type: Use a vector format (EPS or PDF).
  • Color Mode: Use the approved CMYK color palette for UMSU branding.
  • Bleed & Trim Marks: Confirm with your printer, but standard guidelines are:
    • 3mm bleed on all edges for publications
    • 5mm bleed for signage
  • Printer Requirements: Check with your printer before submitting artwork.
